The Sr. Executive Assistant will provide administrative and project support to US-based executives including the Vice President of Human Resources, Sr. Vice President of Finance and Vice President of Organizational Effectiveness. 

The successful individual in this role will be a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment. This individual must be a superb communicator, able to multi-task, work independently and make appropriate decisions on behalf of executives as well as work professionally with various team members and stakeholders internally and externally.

This is a full-time role reporting to the Vice President Human Resources and can be based in Parsippany, NJ or Research Triangle Park, NC. For this role, you will need to live in or near one of those locations and be willing to work in the office on a regular basis with some flexibility to work from home depending on business needs.

RESPONSIBILITIES:
•    Manage complex calendar requirements including timely scheduling to ensure meetings are prioritized and occur with appropriate timelines
•    Communicate on Executive’s behalf both internally and externally
•    Prioritize activities and take timely action based on an understanding of departmental objectives and business needs
•    Learn, understand and adhere to T&E policies, including booking travel (domestic & international), filing expense reports and monthly reconciliation of business expenses
•    Learn and understand purchasing policies; enter and track statements of work and purchase orders into internal systems; process invoices for payment
•    Facilitate multiple projects, prioritize competing demands and requests and take initiative to adjust based on Executive priorities
•    Ensure Executive’s preparedness for meetings (e.g., assemble meeting materials, pre-reads and agendas)
•    Facilitate internal communications and coordination of team meetings (e.g., distribute information, schedule presentations, provide PowerPoint presentations and agenda)
•    Proactively manage assigned high profile internal & external events as needed

CAPABILITIES & SKILLS:
•    Demonstrates strong interpersonal skills and diplomacy; anticipates needs and eliminates friction for Executive in performing their job function
•    Demonstrates complete integrity and ethics in all things; handles sensitive and confidential information in strict confidence and always demonstrates professional discretion
•    Works with minimal supervision, has strong initiative, good judgement and follows-up with a focus on details
•    Builds relationships and interacts easily and professionally with all levels of the organization
•    Must be an excellent communicator in both written and oral form this includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis; must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, IM, text messages and/or emails
•    Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and support business needs across different time-zones and during periods of heavy workload
•    Tech-savvy with proficiency using Microsoft Suite (Outlook, Word, Excel, PowerPoint) with ability to learn new tools and systems in an ever-evolving environment; prefer knowledge with Concur Travel and Expense, SAP, SharePoint and Workday 
•    Exhibits a positive work attitude, sense of humor and high productivity


REQUIREMENTS:
•    High School or GED degree required
•    5+ years previous administrative experience; previously supporting executives preferred
